New Year Check-In: Performance, Data Cleanup & Goals

New year check-in

As we welcome the new year, this is a great time for administrators to do a system check-in. A little upkeep now helps keep reporting accurate and ensures the firm stays aligned throughout the year.

Below are a few key areas to review:

Firm Performance

Start by reviewing overall firm performance from 2025. Look for trends, gaps, or early indicators that may need attention. Use the Management section to review Production, Cash Flow, Revenue and Firm Metrics for a clear picture of where things stand.

Data Cleanup

Check for duplicate records in the Clients, Submarket, Contacts, and Property sections within the Administration tab, merge any duplicates you find. Keeping the database clean leads to more reliable reporting and fewer issues over time.

Goals & Planning

Review and update firm and agent goals to ensure they still reflect current priorities. Use the Goals tab in the Management section to set agent goals and review each agent's production over the last three years. You can also enter the projected number of transactions for 2026.

Please note: Realcore calculates an average desk cost for the firm. If someone should be excluded from this calculation, simply uncheck the box next to their name.

Next, estimate and review yearly expenses to keep forecasts realistic and useful. The Expenses tab in the Management section allows you to estimate firm expenses by month. Entering these estimates accomplishes two things:

  • It creates an average desk cost per agent used in the Production tab for profitability analysis.
  • It ensures those expenses appear in the Cash Flow tab.

Data Accuracy

Confirm that key data points are up to date across the system. From the Summary tab in the Management section, click the date information link listed before the Chance filter. This processes any recent changes (which also run nightly) and updates all Management pages.

Tags

Review existing tags and create new ones as needed. Well-maintained tags make it easier to segment data, track activity, and run meaningful reports. One of the easiest ways to customize reporting for your firm is by using transaction tags. Create or review tag lists from the Administration page, then apply tags to transactions at closing for future filtering.

Regular maintenance like this helps the system work for you—rather than the other way around.
