How to properly use dual agency deals

Dual agency deals often raise questions, and we're frequently asked for guidance on this complex topic. It's also one of the most challenging aspects for our newer customers, so I wanted to share a few important reminders and helpful resources to make the process easier for you.

Key Steps for Managing Dual Agency Deals

  1. Start with the Landlord Deal: Always begin by entering the deal on the Landlord side. Deals can only be connected through the landlord transaction.
  2. Select the Correct Tenant Firm Option: In the Tenant Firm dropdown, select the top option. This will display your company name in bold, with “Dual Agency” listed in the agent column. Important: Never select your company as an outside broker—this will prevent the deals from being connected. Only the top option in the dropdown will link the two deals.
  3. Match Transactions: Once you've added the tenant to the deal, the system will automatically display a list of possible matching transactions. If no matches are found, don't worry!
  4. Generate a New Transaction: If there are no matches, simply check the box for “Generate a New Transaction,” which will create a transaction that includes both sides of the deal.
  5. Invoicing: Always issue invoices from the Landlord deal. When invoicing directly from the deal, ensure it's marked as sent from the landlord side. If you're using the Billing section, the system will only allow you to send the landlord invoice.
  6. Payment Application: The same rule applies when applying payments. The system will only offer the Landlord side for payment processing, but it will apply the payment to both the landlord and tenant portions of the transaction.
